Your Conversation AI agents in EveryCatch can now start conversations on their own, even when a customer has not messaged you yet. As soon as something happens in your CRM (a form is submitted, a lead ad arrives, a call is missed, a tag is added, an appointment is booked, or a deal moves stage), your agent sends the first personalised message, keeps following up automatically when the customer goes quiet, and books appointments for you.
Everything is configured inside the agent itself, so you can manage outbound conversations without building or maintaining separate workflows.
Key capabilities
- Multiple triggers that start a conversation: In the agent, go to Deploy → Outbound → Triggers to choose what should launch an outbound message. You can use: Form submitted, Facebook or Instagram lead form, Google lead form, TikTok lead form, Contact created, Contact tag added, Appointment booked or confirmed, Opportunity created or moved, and Missed call. Each of these can start a new conversation automatically.
- Control exactly when triggers fire: Refine each trigger so it only runs in the pipelines, stages, statuses, tags, missed-call outcomes, forms, or pages you choose. Every trigger includes an Enable trigger switch so you can pause any trigger without losing its configuration.
- A personalised opening message for every contact: The trigger type and the contact’s details feed into the first outbound message, guided by the agent’s Outbound opening message. A missed call gets a relevant text-back, a form submission gets a reply that addresses what was requested, and a pipeline stage change gets a follow-up that reflects that specific deal.
- Automatic follow-up: With the agent’s Auto Follow-up settings, the agent can send up to 5 follow-up messages in each conversation, each with its own timing, when a contact stops replying, says they are busy, or asks to be contacted later. Follow-ups can be written by the AI in context, use your own saved messages, or trigger a workflow, depending on how you configure the agent.
- Built-in working hours: When a trigger fires outside the agent’s working hours, the initial outbound message is queued and sent automatically at the next opening time. For example, a lead that comes in at 2 AM receives a text at 9 AM instead of overnight.
- New outbound home for each agent: The agent’s Deploy tab is now organised into Inbound and Outbound. Under Outbound you will find Channels & activation, Triggers, and Working hours together so you can manage all outbound behavior in one place.
- New outbound dashboard: The Conversation AI dashboard now includes an Inbound / Outbound toggle. In Outbound view, you can see Total Unique Contacts, Total Messages, and Average Messages per Contact compared with last month, contacts reached per day, contacts and messages grouped by trigger type, and every conversation your agent started, with its AI summary and thumbs up / down feedback. You can filter this by channel, date range, and agent.
- Safe and compliant defaults: Contacts marked as Do Not Disturb are skipped automatically, an AI disclaimer is added to every first outbound message, and outbound only runs on agents that are activated with a sending number and the required compliance confirmation.
What you can do with it
- Speed to lead: send a text to new leads within seconds after a form submission or lead ad.
- Stale lead follow-ups: automatically re-engage leads and deals that have gone quiet in your pipelines.
- Missed call follow-ups: text back every missed call and guide people to book the job or appointment.
- Old lead reactivation: restart conversations with dormant leads sitting in your CRM.
- Appointment reminders and rescheduling: confirm, remind, and reschedule appointments through the agent without manual effort.
- Flexible CRM-triggered outreach: let almost any moment in your CRM start a conversation that your agent then manages for you.
How to get started
- Turn on Conversation AI | Outbound AI Agents in Settings → Labs.
- Set up your agent: in AI Agents → Conversation AI, create an agent, write its prompt and Outbound opening message, configure Auto Follow-up and Appointment Booking, and set Mode to Auto-Pilot so it can handle conversations end to end.
- Activate outbound: go to Deploy → Outbound → Channels & activation, choose a sending number, confirm SMS compliance, and select Activate outbound.
- Add triggers: open Triggers → Add trigger, search for the event you want to use, apply filters, leave Enable trigger turned on, and click Save trigger.
- Set working hours: in Working hours, define the time windows when first outbound messages are allowed to go out.
- Monitor performance: in AI Agents → Conversation AI → Dashboard, switch to Outbound to watch contacts, messages, and conversations as they come in.
Important notes
- Channel: outbound messages started by triggers are currently sent over SMS.
- One trigger of each type per agent: each agent can have at most one active trigger for each event type.
- Agent assignment: when an agent reaches out to a contact through a trigger, that agent becomes assigned to the contact and continues to handle that conversation going forward.
- Multiple triggers mean multiple outreaches: if several triggers fire for the same contact (for example, a form submission and then a tag being added), each trigger will start its own outreach. Messages that are delayed because of working hours are still sent at the next opening time and count as separate outreaches.
- Working hours: messages from triggers that fire outside working hours are queued and sent at the next opening time window you defined.
- Follow-ups: follow-up messages are sent based on the agent’s Auto Follow-up settings until the contact replies or the follow-up sequence is complete.
- Dashboard counts: follow-up messages are included in the message totals. The breakdown by trigger type counts the first outbound outreach of each conversation.
- Compliance: contacts marked as Do Not Disturb are skipped automatically, and an AI disclaimer is included in every first outbound message.
Coming soon
- Messages that use deeper CRM context: opening messages that draw on the contact’s CRM data such as opportunities, deal stage and value, notes, and appointments so your outreach can reference more specific details.
