What is EveryCatch?

EveryCatch is an AI-powered lead engagement platform for service businesses. It responds to new enquiries automatically within 60 seconds, books appointments directly into your calendar, follows up with leads on a schedule, and manages the full pipeline from first contact to confirmed job — without staff having to manually handle every message.

What kind of businesses does EveryCatch work for?

EveryCatch is built for service businesses that receive inbound enquiries and need to respond quickly, manage an appointment or job pipeline, and follow up with leads without relying on manual effort. That covers a wide range: trades and home services, estate agents, professional services (coaches, consultants, accountants, therapists), health and wellness businesses (salons, clinics, gyms), and most other service-based operations.

What is the Core5 System?

Core5 is EveryCatch's five-part framework for turning enquiries into customers. How is EveryCatch different from a regular CRM?

A CRM records what happened. EveryCatch creates what happens next. Standard CRM tools require staff to log activity, chase leads, and remember to follow up. EveryCatch's AI handles those actions automatically — responding to enquiries, booking appointments, following up on quotes, and requesting reviews — without waiting for a human to trigger each step. The CRM functionality is included, but it's a layer beneath the active engagement engine rather than the product itself.

How much does EveryCatch cost?

EveryCatch costs £497 per month (including VAT) in the UK, or $497 per month in the US. There are no tiers, no per-user fees, and no per-contact limits. All features are included from day one.

Usage-based costs apply for SMS, WhatsApp, email, and voice messages at standard carrier rates — but these are pay-as-you-go. If you don't send, you don't pay. There is also a one-time onboarding fee for the initial setup, which varies depending on the complexity of your requirements.

Is there a long-term contract?

EveryCatch runs on a monthly rolling basis. There is no minimum term and no lock-in beyond the current month. Given that onboarding takes two to four weeks and the platform is configured specifically for your business, most clients stay well beyond the first month — but that's because it's working, not because they're contractually obligated.

Is there a free trial?

There is no self-serve free trial. EveryCatch is not a generic SaaS tool you can log into and evaluate without context — it's built and configured for your specific business during onboarding. A blank trial account wouldn't represent what you'd actually run.

The alternative is a free discovery call where we walk through the platform live, show you examples relevant to your industry, and talk through what your setup would look like. That gives you a clearer picture than a trial account of an empty system.

How many users can I have?

Unlimited. There are no per-seat fees. You can add team members, admin users, and staff with different permission levels at no additional cost.

AI & automation

Is the AI actually intelligent, or is it scripted chatbot logic?

EveryCatch uses large language model AI — the same underlying technology as ChatGPT and similar tools. It understands natural language, handles unexpected questions, and adapts its responses based on context. It is not a scripted decision tree where the conversation breaks if someone types something unexpected.

It is trained on your specific business knowledge base, so it answers questions about your services, pricing, availability, and processes accurately. Where it doesn't know the answer, it says so and offers to connect the person to a human — rather than guessing.

What happens when a lead asks something the AI can't answer?

If a question falls outside the AI's knowledge base, it is transparent about this rather than guessing or deflecting. Depending on your configuration, it can notify a team member via SMS or email, offer to take a message for follow-up, or transfer the conversation to a human in the shared inbox. Automated outbound messaging is paused during a human handoff to avoid the AI and a staff member sending conflicting messages.

Does the AI work overnight and at weekends?

Yes — 24 hours a day, every day of the year, including bank holidays. This is one of the primary reasons service businesses use it. A large proportion of online enquiries arrive outside standard hours, and the businesses that respond first win a disproportionate share of that work.

Can the AI actually book appointments, or does it just collect contact details?

The AI books appointments directly into your calendar. It checks your real-time availability, proposes times to the prospect, receives their confirmation, and creates the appointment. You receive a notification and the appointment appears in your diary as if booked by a staff member. The full booking conversation — including collecting job details, qualifying the lead, and confirming a time — happens without any manual step from you.

How does the AI know about my business?

During onboarding, a knowledge base is built for your business. This includes your services, pricing, service area, frequently asked questions, how-to-book instructions, and any other information that commonly comes up in enquiry conversations. The AI draws on this knowledge base when responding. If new information needs to be added — a new service, a pricing change, updated availability — the knowledge base is updated and the AI's responses reflect the change immediately.

Setup & onboarding

How long does it take to get started?

Most businesses are live within two to four weeks from the start of onboarding. The process involves building your knowledge base, configuring your automation workflows, connecting your integrations (calendar, payment processor, social channels, etc.), and testing everything before launch. EveryCatch does this work with you — not for you to figure out yourself.

Do I need technical knowledge to set up EveryCatch?

No. The onboarding is a guided, partner-built process. You provide information about your business, your processes, and what you want the system to do. The EveryCatch team builds the automations and configurations. You review and approve before anything goes live. No coding, no technical setup, no need to understand the underlying platform.

What does onboarding actually involve?

Onboarding typically covers: knowledge base build (your services, FAQs, pricing, and business information), automation workflow setup (lead response sequences, booking flows, follow-up triggers), integration connections (calendar, Stripe or other payment processor, social channels, accounting software if relevant), pipeline configuration (your stages, naming, and trigger logic), and testing. Standard integrations like Google Calendar, Stripe, and Facebook Lead Ads are set up as part of this — not left for you to figure out afterward.

What channels does EveryCatch respond on?

EveryCatch handles inbound conversations across SMS, WhatsApp, web chat, Facebook Messenger, Instagram DMs, email, and web forms. All conversations from all channels are unified in a single inbox, with the contact record updated regardless of which channel the message came through. A lead who contacts you by SMS and later by web chat is recognised as the same person.

What integrations does EveryCatch support?

EveryCatch connects natively to Google Calendar, Outlook, Stripe, Facebook and Instagram Lead Ads, Google My Business, and other commonly used platforms. It also supports Zapier, which connects to over 5,000 third-party applications, and webhooks for lightweight real-time data exchange. For industry-specific software — job management platforms, vehicle registration lookups, specialist trade software, invoicing tools — custom API integrations can be built during onboarding.

Is EveryCatch built on GoHighLevel?

EveryCatch is built on GoHighLevel infrastructure, which provides access to the full GoHighLevel feature set. EveryCatch is a configured, managed version of that platform — with the AI, automations, knowledge base, and workflows built and maintained for you rather than left as a DIY build. You do not need any prior knowledge of GoHighLevel to use EveryCatch.

Where is my data stored? Is it GDPR compliant?

EveryCatch operates under the data handling standards of the underlying GoHighLevel platform, which is used by tens of thousands of businesses globally. For UK-specific GDPR compliance requirements, these are addressed during onboarding — including consent language for web forms, opt-out handling for SMS and email, and data retention policies. If you have specific compliance questions relevant to your industry, raise these during the discovery call.

Is it right for me?

Is EveryCatch right for every business?

No, and we'd rather say that clearly than have the wrong businesses sign up. EveryCatch works best for service businesses that receive regular inbound enquiries, have an appointment or job pipeline to manage, and where response speed and systematic follow-up genuinely affect conversion rates.

It is not a good fit for businesses with almost no inbound enquiry flow, businesses in very early stages with fewer than a handful of leads per month, or businesses with complex multi-stakeholder B2B sales cycles that require sustained human relationship management throughout. Does EveryCatch replace my existing CRM?

For most service businesses, yes. EveryCatch includes a full CRM, pipeline management, conversation history, contact records, and reporting — so there is typically no need to maintain a separate CRM alongside it. If you use specific software that EveryCatch does not replicate (job costing tools, industry-specific management platforms), it can run alongside those via integration rather than replacing them.

I already have a receptionist or admin person. Do I still need EveryCatch?

Possibly, depending on how you use them. A receptionist is available during office hours and handles one conversation at a time. EveryCatch responds in under 60 seconds, handles multiple simultaneous conversations, operates overnight and at weekends, and never forgets to follow up. For many businesses, EveryCatch handles the volume and speed that a human simply can't cover, while the admin person handles the nuanced conversations that benefit from a human touch. They tend to complement rather than replace each other.

What if EveryCatch doesn't work for us?

You're on a monthly rolling contract, so the exit is straightforward. That said, we invest significantly in the onboarding process to make sure the setup is right before going live. If something isn't working, the first step is always to look at the configuration — most issues come from knowledge base gaps or automation logic that needs refining, not from the platform itself failing. Support is available throughout the subscription, not just during onboarding.
