Overview
EveryCatch Field Services is now available in private beta for eligible accounts.
Field Services is an industry-focused workspace designed for teams that complete work at the customer’s location, such as HVAC, plumbing, electrical, cleaning, landscaping, and other home or field service businesses.
Instead of treating each visit as a one-off appointment, Field Services organizes your operations around requests, jobs, and visits. You can manage the full lifecycle of a job in one place: capturing the request, building and sending a quote, scheduling, dispatching, doing the work, invoicing, getting paid, and keeping customers updated at every stage.
Whether your team starts the day at the office or in the field, everyone sees the same up-to-date plan on web and mobile: owners, office staff, dispatchers, and technicians all work from a shared, real-time view of the day.
What changed
Home: your business at a glance
- New accounts using Field Services see a welcome page to help you get set up quickly, including a checklist, a simple walkthrough of how work moves from request to invoice, and install links for the mobile app.
- Once setup is complete, the home view becomes your daily dashboard, highlighting where your attention is needed first.
- Money overview cards show payments collected, invoices waiting to be paid, jobs that still need invoices, and estimates that are pending a customer response.
- Scheduling and dispatch cards summarize visits by status and highlight unassigned visits that still need a technician.
- Work requiring attention flags new requests, jobs that need action, and approved jobs that still need to be scheduled.
- Today’s visits are listed with assigned staff and status, so you can scan the day at a glance.
Requests and estimates: capture and quote
- Customers can submit new work requests through your online booking page, or your team can create them directly in EveryCatch, including contact details, address, description of work, photos, services, and products.
- You can optionally schedule an initial site visit before confirming the work, which is helpful for complex jobs or estimates that depend on a walkthrough.
- Convert a request into an estimate or a job with a click, send the estimate to the customer for approval, and turn it into a job immediately once they accept.
Jobs: everything about the work in one place
- Each job connects a single customer and service location to all the work you will perform there, across one or multiple visits.
- You keep services, products, pricing, checklists, internal notes, invoices, and payments together within the job, so your team can see the full picture without jumping between screens.
- Job status updates automatically based on visit progress and billing activity, moving through stages such as Unscheduled, Scheduled, In progress, and Closed.
- A dedicated billing card on the job shows what has been invoiced, what has been paid, and what is still outstanding.
Smart scheduling
- The Find availability tool suggests suitable time slots using your team’s working hours, assigned services, eligible service areas, existing bookings, and estimated drive time between visits.
- You can assign multiple technicians to the same visit when needed, and you control whether customers see a specific appointment time or a time window.
- You can always schedule manually if you prefer, including booking visits outside standard service areas when you decide that is appropriate.
Schedule: list, calendar and map
- You can view all visits as a sortable list, on a calendar (Day, Timeline, Week, Month views), or visually on a map to understand where your team will be.
- Filters let you focus on specific staff, service areas, or visit statuses, and you can save your preferred combinations as Smart lists for quick access.
- From the same schedule view you can spot jobs that still need a visit scheduled, block off unavailable time for staff, and export the schedule to PDF or CSV for sharing or reporting.
Route optimization
- EveryCatch can propose an optimized route for a technician’s day, showing the expected drive time savings before you apply any changes to the schedule.
- You can lock any visit that must stay at its current time and let the optimizer reorder the remaining visits around those fixed points.
- Routes are generated from each technician’s defined start and end location, so daily plans match how your team actually works.
Staff, service areas and travel
- Set up each staff member with their working hours, which services they can perform, which service areas they cover, and optional visit limits per day, week, or month.
- Define your coverage areas by distance radius or by ZIP / postal codes, and optionally add a travel fee and extra travel time before visits in certain areas.
- Choose what happens when a customer is outside your coverage area: automatically prevent booking, or allow the request while marking it for review so your team can decide.
Services, add-ons and import
- Build out your service catalog with clear service entries, including variants, add-ons, pricing, and tax settings so jobs and quotes stay consistent.
- If you already have services set up in Calendars > Services, you can either import services in bulk from a CSV file or copy them across into Field Services to save time.
Invoicing and getting paid
- Create invoices directly from a job and choose how you bill, such as invoicing after each visit on a multi-visit job or sending a single invoice at the end.
- Monitor how much has been invoiced, paid, and remains outstanding at the job level, and collect online payments once you connect a supported payment provider to EveryCatch.
Checklists, notes, statuses and timesheets
- Set up reusable checklists that apply to all jobs or only to selected services, and keep both job-level and visit-level notes so office staff and technicians stay aligned.
- Create custom visit status labels such as On my way or Checked in so your team updates reflect the way you actually operate.
- Use timesheets with a built-in timer on every visit, and allow manual entries where adjustments or corrections are needed.
Notifications
- Keep customers, assigned staff, and dispatchers informed with automatic notifications over email, SMS, and WhatsApp at key points such as new requests, visit confirmations, reminders, technician en route, and visit completion.
- Customize the content of each notification so it matches your tone of voice, branding, and information needs.
Online booking page for your customers
- Use a branded booking page where customers can browse your services, check whether their address is inside your service areas, choose a time, and select how they will pay (online, in person, or using a saved card on file).
- Choose whether bookings are confirmed instantly or come in as booking requests, and optionally let customers submit a request even when no open time slots are shown.
- Use the booking page editor to align colors, text, and layout with your brand, with a live preview for desktop, tablet, and mobile views.
- Share your main booking page or direct links to individual services wherever you promote your business, such as your website, social profiles, or messages.
AI receptionist and Google organic booking
- An AI receptionist can answer customer questions about your services, pricing, and service areas, and it can capture new work requests directly in chat for your team to follow up.
- With Google organic booking enabled, customers can discover your services and make a booking straight from your Google Business Profile, without leaving Google.
Mobile app for the field
- Your field team can use the mobile app to manage requests and jobs, schedule or reschedule visits, update visit statuses, complete checklists, add notes, and track time with timers, all synced in real time with the web app.
How to get started
