When an AI handles enquiries and booking without access to actual availability, it operates on assumptions. It answers "when can you come?" with a timeframe that sounds reasonable, "within the next few days" or "we typically book within the week." That answer is based on nothing specific. It is a default response that may or may not reflect the actual schedule.
The prospect books based on that expectation. The business then has to manage the gap between what the AI implied and what the diary actually shows.
That gap is where trust gets damaged. A prospect who was told "within a few days" and then hears "actually, we are two weeks out" does not feel let down by a scheduling error. They feel misled. The AI created a specific expectation; the business failed to meet it.
The fix is configuration. AI that is synced to the diary, able to offer specific slots, or at minimum accurate about current lead times, does not create this problem. It sets correct expectations from the first message. Bookings that come through it can actually be honoured.
