What adding a follow-up sequence did to one kitchen fitter's conversion rate

A kitchen fitting company in the East Midlands offers free design consultations and runs around 15 formal quote conversations per month. The owner has been fitting kitchens for eleven years. Referrals and repeat customers account for roughly half of all new business, and the quality of the work is consistently good.

Before adding any follow-up process, the business sent around 15 quotes per month and followed up on some of them when the owner found time. The conversion rate sat at 27 percent, producing four jobs per month. With an average project value of £7,200, monthly revenue from new wins came to £28,800.

A three-step follow-up sequence was added. The first message went out 48 hours after the quote, briefly checking it had arrived clearly and offering to answer any questions. The second followed at seven days, noting that the project slot was still available if timing had been an issue. A third went at 21 days, short and final, closing the loop either way.

Over the three months that followed, the same 15 quotes per month converted at 40 percent instead of 27. That produced six jobs per month rather than four, at the same average value. Monthly revenue from new wins moved from £28,800 to £43,200.

The difference is two additional jobs per month, £14,400, and £172,800 over a year. Nothing about the quality of the quotes changed. Several of the customers who responded to the follow-up mentioned that other companies had sent quotes and gone quiet. The fitter who stayed present got the call back.

The 21-day message proved to be the most productive of the three, with a number of customers responding weeks after the quote had been sent, when their own timing had finally aligned.
