How a structured follow-up process changed the conversion rate on high-value quotes

How a structured follow-up process changed the conversion rate on high-value quotes

July 15, 2026

A bathroom renovation company serving the South East operates in the premium domestic market. The process runs from a home survey to a detailed written quote. Reviews are strong and referrals account for a meaningful share of new business.

Before any structured follow-up, the business was running 18 home surveys per month, all of which reached the written quote stage. Of those, 22 percent converted to confirmed projects, producing four jobs per month. With an average project value of £6,800, monthly revenue from new wins sat at £27,200. The owner had noticed, through a handful of conversations with customers who chose a competitor, that several mentioned nobody had been in touch after the quote arrived. Their assumption had been that the company was simply busy.

A three-touchpoint follow-up was added. A message at 48 hours checked that the quote had arrived clearly and offered to address any questions on the line items. A second message at ten days noted that the project slot was still available and that the scope could be adjusted if circumstances had changed. A third message at 28 days asked directly whether the customer wanted to proceed or preferred to close the quote, so the slot could be offered elsewhere.

Over the three months that followed, the same 18 surveys per month converted at 34 percent rather than 22. Six jobs per month instead of four. Monthly revenue from new wins moved to £40,800.

Two additional jobs per month. £13,600. Annually, £163,200. The 28-day message proved the most consistently productive of the three, with several customers explaining they had been waiting on a building decision or a finance arrangement. Without that final touchpoint, those projects would have gone to whoever followed up first.
