How a boiler servicing company stopped losing evening enquiries

A boiler servicing company in the East Midlands received 58 enquiries per month on average. The owner had tracked where they came from. Thirty-four percent, around 20 per month, arrived via phone call during evenings and weekends, when no one was available to answer.

Those calls went to voicemail. The business returned approximately 40 percent of them the following morning. Of the callbacks that connected, 31 percent converted to a booking.

The maths was straightforward. From 20 evening and weekend calls, the business was converting roughly two and a half jobs per month. The other 17 or 18 calls had either not been returned or had already moved on by the time the business rang back.

The owner set up an automated text-back for every missed call. It went out within 90 seconds of the missed call, acknowledged that the call had been missed, and offered a direct booking link for a callback slot along with an online booking option.

The callback rate on the text messages ran at 68 percent. Of the 20 evening calls each month, around 14 now resulted in a conversation. The conversion rate from those conversations sat at 38 percent, close to the business's standard daytime rate. The business was consistently producing five jobs per month from evening and weekend enquiries rather than two.

At an average job value of £280 across services and callouts, the three recovered jobs per month generated around £840 in additional monthly revenue. Over a year, that came to £10,080 from enquiries that had previously gone unanswered.

The voicemail recording stayed the same. The engineers' working hours did not change. The only change was an automated message that went out within 90 seconds whenever a call was missed.
