Two service businesses can install the same AI platform, pay the same monthly fee, and get completely different results. One generates appointments. The other generates confused prospects and irritated callbacks.

The difference is configuration, and most businesses skip it.

An AI responding to enquiries on behalf of a service business needs to know the business: what services are offered, geographic coverage, pricing structure or at least pricing signals, appointment availability, the most common questions prospects ask, and the answers to all of them. It needs a tone that fits the brand. It needs rules for what to do when it encounters something outside its knowledge, which will happen, and a clear handoff process to a human when required.

None of this is built into any platform. It exists in the business owner's head and the team's institutional knowledge, and it has to be extracted, written down, and loaded into the AI's knowledge base before the tool can respond accurately to anything. Businesses that skip this step, pointing an AI tool at their enquiries without building its context, are effectively deploying an enthusiastic but uninformed receptionist who invents answers and escalates everything.

Platform choice matters at the margins. A well-configured AI on a mid-tier platform will produce better outcomes than a poorly configured AI on a premium one. The configuration is where the work is and where the results come from. Any AI implementation that does not begin with a knowledge-building phase is starting in the wrong place.

The question to ask any AI provider before signing up: what does the setup process look like? If the answer is "here is a login, let us know if you need anything," that is the problem identifying itself.
